People Operations Specialist
Position Summary:
The People Operations Specialist is a remote position, responsible for benefits administration, workforce data integrity, payroll review and continuity support, and structured operational coverage during extended absences within the People function. Reporting to the CFO, this role strengthens process reliability, eliminates single points of failure, and ensures accurate, compliant execution of workforce-related operations.
This is a systems-oriented, detail-driven role focused on execution, documentation, and control — not employee relations or strategic HR leadership.
Responsibilities:
Benefits Administration (Primary Ownership)
Administer all employee benefit programs (medical, dental, vision, 401(k), HSA/FSA, ancillary plans)
Process enrollments, life events, qualifying status changes, and terminations
Manage carrier eligibility feeds and vendor relationships
Reconcile monthly benefit invoices against payroll deductions
Support open enrollment planning, logistics, and reporting
Ensure compliance with applicable benefits regulations
Respond to employee benefits inquiries in a timely manner
Payroll Review & Continuity Support
Conduct structured pre-payroll audits to validate new hires, terminations, compensation changes, bonuses, and deductions
Partner with Finance to confirm payroll accuracy prior to submission
Serve as trained backup for payroll processing in ADP Workforce Now during absences
Support post-payroll reconciliation to the general ledger
Maintain detailed payroll process documentation to ensure continuity
Workforce Reporting & Data Governance
Prepare monthly reports as requested by senior leadership
Produce benefits cost reporting for Finance
Support turnover and workforce data reporting
Assist with audit requests (401(k), workers’ compensation, compliance reviews, 5500, etc.)
Partner with the People Generalist to ensure HRIS data accuracy and integrity
Cross-Functional Coverage (Transactional Only)
Provide temporary transactional HRIS and onboarding/offboarding support during extended absences of the People Generalist
Execute documented, process-driven tasks to ensure operational continuity
Maintain cross-training documentation to reduce single-point-of-failure risk
This coverage does not include employee relations guidance, recruiting ownership, performance management, or strategic HR responsibilities
Qualifications:
4–7 years of experience in HR operations, benefits administration, or workforce operations
Experience working with ADP Workforce Now or similar payroll/HRIS systems
Strong understanding of payroll data flow and benefits reconciliation
Experience reconciling workforce-related data to the general ledger
Advanced Excel and reporting skills
High level of accuracy, discretion, and process discipline
What Success Looks Like:
Benefits administration is accurate and reconciled monthly
Payroll changes are validated prior to submission
There is no single point of failure in payroll or HRIS operations
Workforce reporting is timely and reliable
Documented processes support temporary coverage without disruption
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
